仕事内容

This is an executive assistant position to the group CIO at Our Company, who is located in Tokyo. He has responsibility over the IT organization globally so the role will require coordination with internal and external stakeholders internationally. The IT team at Our Company is diverse and dynamic and the successful candidate will be someone who can build rapport across different cultures and levels of the organization.

●Responsibilities:
・Schedule and arrange meetings, appointments, and travel in coordination with other Service Lines and colleagues both in and outside of Japan
・Answer and respond to incoming calls and written communications including mail
・General clerical duties including photocopying and mailings
・Prepare and modify documents including correspondence, reports, drafts, memos and emails including translation from English to Japanese and vice versa
・Create and submit expense reports
・Maintain electronic and hard copy filing systems
・Handle requests for information and data
・Prepare written responses to routine enquiries
・Prepare agendas for meetings, schedules and Meeting Minutes as needed
・Prepare information updates according to global and local policies and guidelines
・Arrange for meetings with and welcome external visitors
・Assist with official procedures and administrative tasks related to living in Japan

必要スキル

●Requirements:
・Full Professional Fluency in English and Japanese
・Strong, proven experience in a similar role as an executive assistant
・Exceptional time management, multi-tasking ability, and organization skills with strong attention to detail
・Ability to process instructions and successfully execute on projects from start to finish, meeting critical deadlines
・Self-starter who thrives in a fast paced, dynamic environment
・Makes thoughtful, prompt, systematic decisions under time constraints
・Presents alternative solutions to problems and considers the impact of decisions
・Analytical and able to resolve administrative issues
・Proven ability to build working relationships across different cultures whilst demonstrating an outstanding work ethic and adapting the communication style to the needs of the audience
・Strong proficiency in Word, Excel, and PowerPoint required
・Excellent attention to detail
・Ability to work independently whilst remaining personable and self-confident
・Produces high quality, accurate timely work, not requiring manager proofing pre distributing with accuracy to Firm clients and prospects
・Ability to anticipate problems and offer solutions as well as the ability to anticipate needs, particularly for repeated tasks
・Discreet, professional manner; maintain confidentiality on all aspects of workload
