Governance: Forum secretary for the Japan Country Executive Committee and Operating Council, including attending, prepare/ review MIS and manage agenda and action follow ups for the meeting. Work closely with other Committees’ secretariat and with Global Governance team to ensure that Japan’s governance establishment is in line with global policy and local regulations. Coordinate with Human Resources, Compliance, Corporate Secretary and Group Governance in appointment and release of key positions (Board members or other C-Suite positions).
Risk & Controls: Work closely with the first line of defense and second line of defense to identify the risk control gaps and drive remediation projects where necessary. Regular follow-up on outstanding audit findings and self identified issues, overdue policy/ procedures review. Review MIS submission from departments, query/ challenge on key issues as COO delegate and follow up to make sure that issues identified are remediated and recorded. Act as key coordinator for Risk Management Framework updates, Legal Entity Write-up inputs.
Regulatory compliance: Work closely with local and regional regulatory team to ensure that all activities are carried out in accordance to group policy and local regulatory requirements; and to maintain good regulatory relationship. Work closely with Business, Infrastructure functions and Compliance in responding to regulatory surveys and inspections, auditors’ information requests and queries, and is responsible for tracking the closure of regulatory findings.
Strategy: In liaison with local and global counterparts, drives and supports the development and implementation of strategy in Japan across all business and infrastructure lines (key activities include country reviews, strategic business deep dives, production site and disaster recovery site’s real estate planning, sensitive projects such as restructuring or divestments)
Staff communications: Work closely with the CCO, Head of Communications and Diversity & Inclusion leaderships in preparing for staff townhalls in various form.
External communications: Prepare presentation materials on various topic related to Japan franchise for managerial presentation, coordinate inputs for client briefings and prepare regulatory briefings (in case of meetings with Bank of Japan or Japan Financial Services Agency) for senior visitor (Management Board (MB) level or MB-1)
Regional Management’s housekeeping: Act as Regional Management’s information portals’ access control owner, Business Continuity Coordinator, Fire Warden, Record retention manager, Personal information control officer. Maintain the COO’s key function records and chain of delegation in case of emergency.
