仕事内容 <OVERALL ROLE>
As the Facilities Coordinator - Events, you will be responsible for supporting events hosted by the client, and ensure they are running smoothly and as planned. The role requires you to be extremely organized and be able to manage the logistics of multiple events simultaneously. Responsibilities for the Facilities Coordinator - Events include meeting with clients to work out event details, plan with the client, and liaise between parties (i.e food, AV team, security, etc). At times, you will need to be creative and come up with suggestions to enhance the events success and ensure client satisfaction.

<MAJOR RESPONSIBILITIES>
・Liaise with clients to understand exact event requirements and arrange the facility as required
・Manage and coordinate with internal resources and third parties/vendors, as well as all event logistics to ensure flawless execution of events
・Support clients with pre-event planning, organizing the venue (room set up within the Google facilities), and preparing all necessities for the events
・Coordinate with internal resources and suppliers, handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly
・Monitor and maintain database, track individual event and budget impact
・Conduct event recaps including the final attendance numbers, usage of the room, details of the support and other post event data and reports
・Collaborate and communicate effectively with other teams (food/catering, AV team, security, etc) to coordinate the event
・Identify the need to improve processes to achieve efficiency
・Support client with room booking, room/facility layout, and ensure the venue is set up as requested by the client
・Ensure event is completed smoothly and step up to resolve any problems that might occur
必要スキル <Knowledge and Skills Required>
・Basic computer skills e.g. Microsoft Word/Excel/PowerPoint (Google G Suite is a plus)
・Fluency in both English and Japanese (verbal & written)
・Proven track record with at least 3+ years of experience in event coordination or facility management is required (preferably work experience in event management and in the field of hospitality)
・Work experience in multinational company
・Simple project management skills preferable
