-Operations & General Admin Support, Facilities Management and Team Assistant
-To provide administrative support to the Japan team members, work closely with Japan team members and APAC colleagues for outsourced tasks in Finance, HR, IT and fund administration on day to day duties, including providing operational and adminstrative support to Japan team members and providing support to CRMs to deal with client requests on fund administration for mainly institutional clients and retail distribution agents.
-Perform general office operations related duties.
Main Duties & Responsibilities
-To assist new fund/mandate launch project management and process setup
-Work closely with the relevant team on Fund operation, DIM operation, separate account operation and advisory business operation
-Be the Primary contact for Ops outsourcing agent and assist Ops problem solving and client communication in Ops matters
-To mintain and input CRM and prepare regular report, seminar and support event coordinations
-Liaise well with internal functional support resource and other offices where possible on all operation related issues and tasks.
-To perform general administration support including reception duties, purchasing of office supplies & stationery, mailing services for the office, travel coordination, document filing, coordinating the printing of business card, envelopes and calendars etc. for the office, coordinating meetings and schedule appointments, ensuring the office maintenance work to be carried out in proper order, e.g. regular window cleaning and carpet cleaning, etc. and performing ad hoc administrative duties as required
-To be the local contact point for IT support, e.g. assisting to set up PC/Audio & Video Conference Facilities for visitor/staff members in Tokyo, perform as a liaison person for IT for Tokyo office.
-To assist Finance team in going through office-related expenditures procedures in relation to invoices from external vendors and reimbursement of the office staff’s expenditures as required
-Other general support to HR team and Legal and Compliance team.
-Coordinate any ad-hoc projects and/or activities in relation to the office, such as office renovation
