【About the Role】
Our company is seeking a temporary Operations & Administrative Associate to support the day-to-day business, operational, and administrative needs of our Tokyo office. Working closely with AVJ leadership, US corporate teams, and external service providers, you will ensure efficient operations across the Japan business. This flexible role supports AVJ through its next growth stage, with potential to evolve into a broader or permanent role based on performance and business needs.


【What You’ll Do】

〜Operations & Office Administration〜
Support day-to-day Tokyo office operations, including facilities, equipment, supplies, and vendor management.
Coordinate new hire onboarding, system access, workspace setup, and orientation materials.
Manage relationships with external providers across accounting, legal, payroll, and facilities.
Support compliance with local employment laws, labor regulations, and corporate governance requirements.
Organize and maintain company contracts, critical records, and filing systems.

〜Financial Administration & Business Operations〜
Handle AP/AR processes: review vendor invoices, coordinate approvals, process payments, and track receivables.
Prepare leadership expense reports, manage petty cash, and reconcile corporate cards.
Partner with US finance teams and local tax accountants for monthly close, audits, tax filings, and financial compliance.
Drive continuous improvement of financial workflows and approval processes.

〜Projects, AI & Continuous Improvement〜
Support planning and execution for office events, investor gatherings, board meetings, and team offsites.
Conduct research, analysis, and tracking for special leadership projects and cross-functional deliverables.
Identify operational bottlenecks and implement practical, scalable solutions.
Leverage AI tools and productivity platforms to automate routine tasks, optimize scheduling, streamline documentation, and enhance overall office efficiency.
