Office Management
Maintain a schedule of all suppliers, vendors, contract details for quick reference.
annual medical checkup arrangement
congratulatory / condolence duties
Co-ordinate printing of business cards for the Team.
Manage issuance and termination of office access cards for all Employees.
Ensure sufficient supplies photocopier paper, stationery, printer cartridges, first-aid kit,
pantry supplies, etc.
Handle corporate subscriptions - renewals and termination of corporate memberships,
subscriptions to magazines, etc.
Maintain a schedule of all suppliers, vendors, contract details for quick reference.
Co-ordinate printing of business cards for the Team.
See to plant rental, photocopier leasing including negotiation of best deals, vet the
contract, ensuring regular payment and following up on the renewals and terminations.

IT
Involve in the review the scope of services provided by the vendor, to efficiently support the
local network server, desktop services and seeing to improved IT environment.
Act as point of contact for liaison with IT Paris on IT co-ordination issues.
Ensure maintenance of IT equipment, office machines including server router and its
peripherals, printers, etc.
Liaison with local Telecoms provider on telephone lines, video lines, Ethernet access and
trouble-shooting issues.
Procurement of IT equipment like laptops, desktop CPUs, screens, etc and liaison with local
IT Vendor for Team members’ trouble-shooting issues.
Administration
Provide general secretarial support to the Team including filing, photocopying, binding of
documents, assisting in presentations, handling general telephone calls, serving beverages
to guests, organising meetings and working lunches, opening and distribution of incoming
mail/parcels, sending of outgoing mail/parcels.
Travel arrangements booking of flight/train/ferry tickets, hotels, car rentals, transfers, visa
applications in compliance with the Global Travel Policy. Ensure all trips are pre-approved
by the Head of Japan on the Travel Requisition Form and preparation of Travel Files for
travellers with detailed Meeting Schedule, logistics and contact details.
Maintenance of efficient filing system for easy documentation and retrieval of information
and disposal/shredding of obsolete documents.
Manage Team members’ meeting schedule and calendars.
Organise local and overseas meetings, regional visits by Executive Board members/
Directors on trips with Investors in the Asia region.
Preparation of Team members’ Expense Claims for disbursements of business expenses.
Registering Team members for approved conferences and seminar.
Arrange Video & Telephone conferences.
