|仕事内容||・Coordinate all aspects of facility management and corporate services in Tokyo
・Coordinate all internal and external office moves to ensure efficient moves in consideration of business hours, proper placement of equipment, and cost of additional services.
・Develops effective working relationships with all teams to ensure smooth office operations.
・Review and approve invoices and ensure that the invoices are charged to appropriate cost centers.
・Manage inventory of all stored office equipment, office supplies, allocates all storage spaces and enforces standards for furniture and space utilization.
・Gathers feedback from staff on performance of IT infrastructure and escalates to group IT and this company Business Systems Manager (Singapore) as appropriate
・Supports the company Business Systems Manager in identifying needs and procuring IT equipment as per IT procurement process.
・Manage leases of the office and the company-leased apartments
・Ensure smooth operation of Reception and Meeting Rooms
・Manage office emergency plan (BCP). In case of emergency, responds immediately to handle unplanned and contingency situations.
・Ensure all standards, and other safely requirements and/or issues are managed in order to provide and promote healthy workplaces.
Organize and manage all assigned events, initiatives, visitors, new hires (in conjunction with HR), offsite events, town halls, etc.
・Manage office support staff by coaching, counseling, disciplining and reviewing performance.
|必要スキル||・Strong organization, prioritization and time management skills.
・Experience in negotiating and working with external service providers:
establishing contracts, contract administration, payment and scheduling
・Exceptional cost-saving sensibilities: comfortable negotiating with vendors for best rates
・Be flexible in a fast-paced environment balancing multiple tasks and changing priorities.
・Strong communication skills, bothwritten and verbal in English.
・Excellent interpersonal skills.
・Strong customer service orientation, attention to detail and a commitment to follow-through.
・Good knowledge of Office technology(familiar with internet tools Word, Excel, and Outlook)
・Event management experience would be a benefit
